Personnel
- Identify key event personnel.
- Who is/are the host(s)?
- Who is/are the primary contact(s)?
- Who will manage access and accommodation requests?
- If you are using or considering an external event planner, be sure to review this guidance on external event planning services.
Date and time
- Choose a date and time, keeping the following in mind:
- MIT’s academic calendar
- Institute and student holidays
- Religious holidays/observances
- Implications for greater Institute/other groups
- Class times and locations re: noise
- Availability of participants, leadership, and audiences served
Virtual/Hybrid Event Considerations
- Viewer/participant time zones
Venue
- Select and reserve a venue, being sure to consider:
- Audience size
- What will happen during the event?
- Access to elevators, ramps, entrances without stairs, and parking relative to event space (review the MIT campus accessibility map)
- Width of doorways and aisles to accommodate wheelchairs/scooters
- Space for personal attendants or service animals
- Locations of the nearest inclusive restrooms, lactation rooms, prayer spaces, and sensory-break areas
Virtual/Hybrid Event Considerations
- Choose the event delivery method/platform (e.g., Zoom).
- Zoom Rooms—rooms equipped with good AV for hybrid meetings—for the MIT community can be booked through Atlas.
Register
- Register your event if required.
