Special space request

Form to request use of special event space scheduled by Institute Events

**Requests are reviewed on a rolling basis and in accordance with current policy. No space reservations are guaranteed at this time.**

This form is for MIT event organizers who would like to request use of one of the special spaces scheduled by Institute Events.

After you submit your request form, a member of the MIT Institute Events team will be in touch to discuss your reservation and next steps. 

  • Please submit your request as soon as possible and at least 5 business days in advance.
  • To provide time for the event registration process, events with large groups of people and/or alcohol* will not be approved less than 10 business days in advance.
  • If you order any furniture for delivery, note that it is forbidden to be delivered to OR remain in the spaces outside of your reservation time. Please be careful when making delivery and pick-up arrangements. Furniture vendor suggestions include: Peak Event Services (Contacts: Barbara Ly and Lauren Colbert) and YourMove (Contact: Judy Halloran)​

SAFETY AND PREPAREDNESS

The Environment, Health and Safety Office (EHS) provides a few guidelines regarding events for which formal safety plans are necessary. Please note that safety plans may be required for events. Questions about safety procedures may be directed to EHS at safe-project@mit.edu.

EVENT REGISTRATION

The process of registering campus events is handled through Atlas (MIT certificates required). Be sure to register your event if required. (It is NOT necessary to register academic activities.)

TRASH REMOVAL AND RECYCLING

Once an outdoor space is reserved, organizers must submit an Atlas service request to make arrangements for trash removal and recycling.

Please provide the name of your MIT department, lab, center, group, or program.
For events, please provide the name of the "event host" as you would enter in Atlas
Please provide the number of event participants, including staff.
Remember to include set-up and break-down time in your reservation request.

How do you plan to use the space? What will attendees be doing?
Account number required for non-academic reservation requests. It will be used only if damage is incurred or if space is not clean and reset.
